1. Who we are
I'm In Golf is operated by GGA Consults Ltd (company number 13312692), registered in England and Wales.

For the personal information described in this policy, GGA Consults Ltd is the data controller unless another organisation is clearly identified as responsible for a particular service.
2. Information we may collect
Depending on how you use I'm In Golf, we may process:
- Group information, such as group name, group PIN, competition settings and group activity.
- Player information, such as player name, handicap, competition choice, payment-status marker, final Stableford or Net score, no-return status, results, league points and round history.
- Organiser information, such as organiser/customer name, contact details, group status, trial or subscription information and support notes.
- Technical and device information needed to operate the service, including information stored locally in your browser or device so the app can remember things such as your group, player identity or, where you choose it, an Owner Dashboard login on that device.
- Support information, including questions or messages you submit through the website Help Assistant or by email.
Please do not put passwords, full payment-card details, bank details or other unnecessary sensitive information into the Help Assistant or support messages.
3. How we use personal information
We use personal information to:
- provide and operate golf groups, competitions, score entry, results, leagues, trips and related features;
- identify the correct player and group on a device;
- allow organisers to manage their groups and allow us to support those organisers;
- maintain the Owner Dashboard and understand whether groups are active;
- respond to questions and provide support;
- keep the service secure, diagnose faults, prevent misuse and maintain reliability;
- administer trials, subscriptions and business records; and
- improve the service using appropriate, proportionate usage information.
4. Our lawful bases
Under UK data-protection law, we rely on one or more of the following lawful bases:
- Contract — where processing is necessary to provide a service requested by an organiser or user.
- Legitimate interests — for operating, supporting, securing and improving I'm In Golf, provided those interests are not overridden by your rights and interests.
- Legal obligation — where we must keep or disclose information to comply with the law.
- Consent — where we specifically ask for consent for an optional use that requires it.
Where we rely on legitimate interests, those interests include providing a reliable golf-group service, preventing misuse, supporting customers and understanding how the service is used.
5. Where information comes from
We may receive information directly from you, from your group organiser, or from another member of your golf group where they are authorised to add or manage group information. For example, an organiser may create a player name before that player first opens the app.
6. Who we share information with
We do not sell your personal information.
We may share or make information available to:
- other members of the same golf group where that information is part of the normal group experience, such as player names, competition status, scores, results and league standings;
- Supabase, which provides database and backend services used by I'm In Golf;
- our website/app hosting and infrastructure providers, including services used to make I'm In Golf available online;
- service providers used to operate support functions, including the Help Assistant; and
- professional advisers, regulators, law-enforcement bodies or other parties where disclosure is required or permitted by law.
We require service providers to handle personal information appropriately and only for the services they provide to us.
7. International processing
Some technology providers or their subprocessors may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate lawful safeguard or rely on another permitted transfer mechanism.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing an active group, maintaining round history, supporting users, resolving disputes, keeping appropriate business records and meeting legal obligations.
Group and competition information may remain while a group is active or while its saved history is still required by the group. If a group is deleted, we will delete or anonymise associated information when it is no longer reasonably required, subject to backups, security needs and legal record-keeping obligations.
9. Local storage and similar technologies
I'm In Golf uses browser/device storage for functions requested by users, for example to remember a group, a selected player identity, or a remembered Owner Dashboard login on a personal device. This helps the service work without asking for the same information every time.
We do not currently use this website to run third-party behavioural advertising or sell tracking profiles. If we introduce non-essential cookies, advertising technologies or similar tracking in future, we will update this information and provide any consent controls required by law.
10. Money Games and payment information
The current I'm In Golf Money Game feature is a group-management and record-keeping feature. It can show entry-fee amounts, who is marked as paid, the pot and results, but I'm In Golf does not currently hold, safeguard or distribute players' competition funds through the app.
If integrated payment processing is introduced in future, this policy will be updated before launch to explain the payment provider, the information processed and the relevant responsibilities.
11. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase information;
- ask us to restrict how information is used;
- object to certain uses of information;
- receive certain information in a portable format; and
- withdraw consent where processing is based on consent.

12. Complaints
Please contact us first if you have a concern about how we use your personal information. You also have the right to complain to the UK Information Commissioner's Office (ICO).

13. Security
We take reasonable technical and organisational measures to protect personal information. No internet service can guarantee absolute security, so users and organisers should also protect group PINs, Admin PINs and device access and should not share private organiser or Owner credentials.
14. Changes to this policy
We may update this policy as I'm In Golf develops, particularly if we add integrated payments, new commercial partnerships or materially different data uses. The latest version will be published on this page with an updated date.
